Turning Tune-Up Recommendations Into Garage Door Repair Estimates

A tune-up that finds worn rollers and a cracked bottom seal has done half its job. The other half is getting those fixed. If the recommendation sits on a report and nobody follows up, the customer forgets, the door keeps wearing, and your company leaves real work on the table. The fix is simple: every recommendation gets a price.

The Report Starts the Conversation

The printed report the homeowner receives is covered in The Printed Garage Door Safety Inspection Report: What the Homeowner Takes Away. A recommendation on that report tells the customer what the tech saw. An estimate tells them what it costs and lets them say yes.

Many homeowners will not call back on their own after reading “recommend replacing rollers.” Not because they do not want it done, but because calling is one more thing on a busy list. An estimate in their inbox with an approve button removes that step.

Build the Estimate From Your Service List

In GarageDoorBossPro, estimates are built from your own service list. Whatever you have set up, such as a service call, torsion or extension spring replacement, cables, rollers, off-track repair, opener repair and install, new door install, panel or section replacement, sensors, keypads and remotes, weatherstripping or commercial door repair, is there to pick from.

Look at the tune-up's recommendations and add a line for each one. Worn rollers become a rollers line. A cracked bottom seal becomes a weatherstripping line. Your prices come from your services, so nobody is guessing in the office. If you use the same combinations often, save them as an estimate template, such as “Rollers and bottom seal,” and the next one takes seconds.

Equipment Details Carry Over

The tune-up was done at a house with its doors and opener already saved: size, material, brand, model, serial, bay. Equipment details can be filled in on the estimate and they carry onto the job. When the estimate says “Bay 2, 9x7 steel door, replace bottom seal,” the tech who shows up to do the work knows exactly which door and what size.

For bigger recommendations, like an opener replacement or a new door, the house record makes quoting faster. The office already knows the door size and the existing opener, so there may be no need for a separate measuring visit before you send a price.

The Customer Approves Online

Send the estimate and the customer can approve it online. No printing, no signing, no call to the office. Pair the estimate with a short note that ties it to the tune-up:

That context matters. A random estimate feels like a sales pitch. An estimate that follows a written inspection the customer already has feels like the next step.

Split big and small recommendations into separate estimates when it makes sense. A customer may say yes to new rollers today but want to think about a new opener for a few months. If both are on one estimate, the whole thing can stall. Two estimates let them approve the easy one now, and the bigger one stays open for follow-up.

Approved Estimate Becomes the Job

When the customer approves, the approved estimate becomes the scheduled job. It shows up for the office to put on a van and a day, with the services and the equipment details already filled in. Small jobs, like rollers or a seal, often pair well with other nearby work. A repair van passing through the neighborhood can pick it up.

When the tech completes the repair, the invoice is created with the line items and sales tax, and the card on file can be charged. The repair is saved with the house history, so next year's tune-up shows the rollers were replaced and when.

Same Day Is Best

The best time to send the estimate is the same day as the tune-up, while the customer still remembers the tech being there. A few habits help the office stay on top of it:

Not every customer will approve right away. Following up on the ones who do not is covered next in Following Up on Recommended Repairs After a Garage Door Tune-Up. For how estimates fit into the tune-up program, see the garage door maintenance software page.
